Batches & expiry
The batch that expires first is used first.
Every delivery comes in as a batch with an expiry date. Visits and the till take from the oldest usable batch — nobody has to think about it.
- Batch and expiry entered when you receive a delivery
- Stock per batch and in total per item
- A minimum quantity for each item
Movement ledger
Every unit has a history.
The ledger records every movement with time, source and the balance after it — so you can see where stock went.
- Visit
Medication and vaccines from the therapy.
- Sale
Everything sold at the till.
- Delivery
Quantities received against an order.
- Refund
When goods go back into stock.
- Adjustment
Write-offs, damaged packs, counts.
Suppliers & purchase orders
Order, delivery, partial receiving.
Keep your suppliers and send them purchase orders. An order moves from draft to sent, confirmed and received. If a delivery arrives short, receive what came — the rest stays open.
- Statuses: draft, sent, confirmed, received, cancelled
- Partial receiving per line
- Batch and expiry on receipt
Distributors on VetCare
The order reaches the supplier — and the answer comes back.
When your supplier is a distributor on VetCare and you are linked, “Send” really sends the order. They confirm or decline each line, and you see the answer on the order.
- Inventory → Distributors
The approved distributors — where they deliver and which product groups. Request a link with one button.
- A catalogue with your prices
Prices show once you are linked — with the discount the distributor gives you. “Add to stock” creates an item or links it to an existing one.
- A status on every line
Confirmed, declined or with a changed quantity and a note; “Shipped” with an expected delivery date.
- Invite your supplier
A supplier not yet on VetCare you invite from “Suppliers” with a registration link. Once they are approved, the link with you becomes active.
Minimums & suggestions
Know what’s running out before it does.
Set a minimum quantity per item. When stock drops below it, an alert shows in the app and VetCare suggests what and how much to order.
- In-app low-stock alerts
- Order suggestions for items below minimum
- From a suggestion straight to a purchase order

- Audit & reports
Visits and the till deduct, deliveries and refunds add, and the stock audit in statistics lists every movement — what, how many, which document and who.
Frequently asked questions
How does batch inventory work?
Every delivery is received as a batch with an expiry date. For a visit or a sale, VetCare deducts from the batch that expires first.
Is medication from the visit deducted automatically?
Yes. When the vet completes the visit, medication and vaccines from the therapy come off stock and the movement is added to the ledger.
Can I receive a delivery partially?
Yes. Receive the quantities that arrived line by line; the rest stays on the order for the next delivery.
How do I know something is running out?
Set a minimum quantity per item. Below it you get an in-app alert and an order suggestion.
Can I adjust stock?
Yes — with an adjustment that’s recorded in the movement ledger. Reports also include a stock audit.
Can I order straight from a distributor?
Yes, if the distributor is on VetCare and you are linked. The order reaches them, they confirm or decline each line and mark it shipped — you see the status on the order. You receive the delivery into stock as before.
Does it suit a veterinary pharmacy or pet shop?
Yes. Inventory is available to veterinary pharmacies, pet shops, grooming salons and pet hotels too.
