Clinical records

Veterinary clinical records, written as the visit happens.

The patient, the visit and the bill on one screen. Anamnesis, vitals, an eight-system exam, diagnosis and therapy — and everything used is already on the bill.

Three columns

Each column does one job.

  1. The patient

Search by name, owner or microchip. Species, breed, age, weight, neutering and the full history — visits, vaccinations, surgeries.

  2. The visit

Anamnesis, vitals, exam by system, diagnosis, therapy and products. The whole visit is visible without switching tabs.

  3. The bill

Fills itself from the therapy. Add a follow-up, choose card or cash and complete the visit.

The visit, step by step

From anamnesis to therapy — in the order you think.

  1. Anamnesis

What the owner tells you, and since when.

  2. Vitals

Temperature, pulse and weight at the start of the visit.

  3. Eight-system clinical exam

Normal or a finding, for each system.

  4. Diagnosis

It stays in the patient’s history.

  5. Therapy & products

Six kinds of lines — see the example.

Less typing

Templates for the routine. Follow-ups for what’s next.

Treatment templates

Annual vaccination, spay, otitis — pick a template and its lines go into the therapy. Then adjust whatever you need.

Follow-ups from the visit

Revaccination, control or annual exam — set them while you’re still in the visit. VetCare sends the reminder to the owner by email (and text, where SMS is switched on) — on the date or days before, as the clinic sets it.

Results and doses

Lab results over time. Doses — calculated.

Lab results and trends

For each investigation you enter values by parameter or by whole panel — with units, reference ranges and out-of-range flags. Results that arrive after the visit can be added to a completed visit too.

  • Trends

The patient’s values across visits — a chart with the reference band, the direction of change and whether it moves toward normal.

  • Control visits

A scheduled control is linked to the original visit; the chain shows in the record and results are compared along it.

  • For the owner

Confirmed results show in the pet’s profile — read-only.

Dose calculator

For injectable items the clinic sets its own dose per species (Inventory → Injectables). In the visit the volume in ml and the dosage fill in by themselves once the weight is known.

  • Per-line calculator

kg × mg/kg ÷ mg/ml = ml — change any field and the others recalculate, for that line only.

  • Drug database

Stock items link to veterinary medicinal products from the public register of the Bulgarian Food Safety Agency (BFSA).

  • Warnings

A dose outside a verified rule in the database is flagged as a warning — the decision stays with the vet.

Find the patient

Microchip or QR — the patient is on screen.

Type the microchip number to search your clinic’s patients. If the owner brings the pet’s QR card, scanning it opens the patient in treatment or at the till.

  • Search by patient or owner name as well
  • The QR card shows strangers no health data — only name, species and breed
  • Add a new patient from the same screen

After the visit

Complete it — the rest happens on its own.

  1. Visit
  2. Sale
  3. Stock
  4. Reports

A completed visit creates the sale, deducts medication and vaccines from the batch that expires first and feeds reports by vet, service and product. Vaccinations and the visit appear in the owner’s pet profile — read-only.

Journals

The ambulatory journal and your clinic’s logs.

Designed with Bulgarian veterinary workflows, including processes related to BFSA registers and Ordinance No. 42, in mind.

  • Ambulatory journal

Built from completed visits; filter by period and print.

  • Veterinary medicines

A log for veterinary medicinal products.

  • Disinfection

    Records of disinfections carried out.

  • Controlled substances

A separate log for controlled substances.

  • Refrigeration

    Temperature records.

VetCare does not certify regulatory compliance — keeping the registers remains the clinic’s responsibility.

Frequently asked questions

What does a VetCare clinical record contain?

The patient’s details (species, breed, age, sex, weight, microchip, neutering) and their history: visits with anamnesis, vitals, an eight-system exam, diagnosis and therapy, vaccinations with the next due date, surgeries and hospitalisations.

Which kinds of therapy lines are there?

Procedures, investigations with attached images, medication, vaccinations with the next due date, surgery, and hospitalisation with days and items used. Every line goes on the bill and products come off stock.

Are there treatment templates?

Yes. A template adds ready-made lines to the therapy — for an annual vaccination or a spay, say — which you can then adjust.

Can the owner see the visit?

In their pet’s profile the owner sees vaccinations and the visit history — date, type, diagnosis, clinic and vet — read-only.

Can I enter lab results?

Yes. For each investigation you enter values by parameter or by panel, with reference ranges and out-of-range flags. Trends show how the patient’s values change across visits, including along the chain of control visits.

Does VetCare calculate doses?

For injectable items — yes, from the dose the clinic set for the species and the patient’s weight. The vet can change any field in the line’s calculator; a dose outside a verified rule in the database is flagged with a warning.

Can I find a patient by microchip?

Yes — by a number you type, within your clinic’s patients. There’s no national registry link and no reader support. The pet’s QR card also opens the patient.

Does VetCare keep the ambulatory journal?

The ambulatory journal is built from completed visits, with a period filter and printing. There are also logs for veterinary medicines, disinfection, controlled substances and refrigeration. Compliance of your records remains the clinic’s responsibility.
