Scheduling & booking

Online appointment requests. And a schedule ready for them.

The owner picks a day, a time and a reason. The request appears in the clinic’s calendar, the team accepts or declines it — and both sides see the same thing.

How it works

One request, two sides.

Nobody guesses free times over the phone. And nobody books blind either — the clinic has the final say.

  1. OwnerFinds the clinic

In Discover — a profile with services, prices and hours.

  2. OwnerSends a request

A day, one of the offered times and a reason.

  3. ClinicPending in the calendar

The request sits in the schedule as “pending”.

  4. ClinicAccepts or declines

The team decides based on its day.

  5. OwnerSees the status

Accepted or declined — in their account.

A request, not instant booking

  • Only where it’s switched on

The business switches online requests on. Where they’re off, there’s no request button.

  • Offered times, not live slots

The owner picks from a list of times. Confirmation comes from the team, not from the system.

  • An answer and a reminder

When the clinic accepts or declines the request, the owner gets an email (and a text where SMS is switched on), and a reminder before the appointment. The status is also in their account.

For pet owners

Ask for a time without calling.

When a clinic or grooming salon accepts online requests, its profile has a “Request a time” button. Pick a day, one of the offered times, and write the reason.

  • A request with a day, time and reason — for a specific pet
  • All your requests in one place in your account
  • Status: pending, accepted or declined
  • Cancel the request from your account if your plans change

By type of place

Groomers and pet hotels — each with its own request.

The request follows the type of business: at a grooming salon you pick a service, at a pet hotel — dates and a room type.

  • Grooming salon

Pick a service from the salon’s public price list — its duration sets how long the appointment takes in the schedule.

  • Pet hotel

Request a stay: arrival and departure dates, a room type and a note. The hotel accepts or declines the request.

  • Cancelling

Cancel a request or an accepted appointment from your account before it starts; a stay — before the arrival day. The business sees the cancellation.

For the clinic

The clinic’s schedule, organised by vet.

A day view with a column per vet, a week view and a phone view. Exams, surgeries and vaccinations — each with its own type and status. Online requests appear among them with “Accept” and “Decline” buttons.

  • DayA column per vet
  • WeekThe whole week at once
  • PhoneA mobile view

Every appointment has a status

  • Pendingan online request awaiting an answer
  • Scheduledaccepted and in the calendar
  • Completedthe visit took place
  • Cancelledthe appointment was cancelled
  • No-showthe patient didn’t come
  • Declinedthe request wasn’t accepted

Shifts & leave

Who works when — before you accept a request.

The business’s working hours, days off and holidays, plus staff shifts and leave, live in the same schedule. So when you accept a request, you can see whether the vet is even in.

  • Business working hours and days off
  • Shifts per staff member
  • Leave — marked in the schedule

Questions about booking

How do I book a vet appointment online?

Sign in, find the clinic in Discover and press “Request a time” on its profile. Pick a day, one of the offered times and a reason. The clinic accepts or declines the request.

Does a request mean my appointment is booked?

Not yet. The appointment is confirmed once the clinic accepts the request. Until then it’s “pending”.

Will I get an email or text when the request is accepted?

Yes, an email — and a text where the platform has switched SMS on. The request status — pending, accepted or declined — is also shown in your VetCare account. You choose the channel in your account.

Why is there no request button on a clinic’s profile?

Because that clinic hasn’t switched on online requests. You can contact it directly instead.

Can I request a stay at a pet hotel?

Yes, if the hotel has online requests switched on. Pick arrival and departure dates, a room type and your pet, and the hotel accepts or declines the request. You can cancel it before the arrival day.

Can I cancel an appointment request?

Yes. Cancel a request or an accepted appointment from your account before it starts. The clinic sees the cancellation in its schedule.

Does the clinic’s availability update automatically?

The clinic manages its own schedule — working hours, shifts, leave and holidays — and decides whether to accept each request. VetCare doesn’t show owners live free slots.

What views does the clinic schedule have?

A day view with a column per vet, a week view and a phone view, with exam, surgery and vaccination types and a status for every appointment.

Fewer phone calls. A calmer day.
